Note: This article is written for Giving Day hosts. If you are a participant or supporter of a Giving Day, this article may not pertain to your efforts.
When the approval process is enabled by your Project Manager, you are able to accept applications from nonprofits and approve or deny their application based on the requirements that have been implemented for your Giving Day.
When an organization registers, they start out in “Pending” status and will not be public on the site until you approve them. The organization can still start to build and preview their profile once they register/apply, but they will see a disclaimer on their dashboard with information about their current status (customized by you!) - you are able to add copy that is automatically emailed upon their application submission as well as when their status changes. Note that you can also have different copy that is displayed on their Giving Day dashboard that differs from the email copy if you choose. There are four statuses available for you to assign to a nonprofit:
Pending - The copy that is automatically emailed once someone submits their application.
In Review - The copy that indicates that someone has taken action, but they are not yet approved - maybe they need additional documentation.
Ineligible - The copy that you want orgs to see if they are not eligible.
Approved - The copy that you want orgs to see if they are eligible.
The email that is received upon submission comes from the copy that you choose for the “pending” status and the subject line for this email is “{NPO Name} has applied to participate in Giving Day!”
Note: You can still have a registration welcome message that displays on the application/registration form as well as a registration welcome email that is sent with the status copy that you entered. The pending email copy will be displayed first within the email, then the registration “welcome copy” IF you choose to add the registration welcome email copy.
These statuses are easily changed by you as the Giving Day hosts by selecting "View Organizations" from the sidebar, just select the status in the dropdown that appears next to the organization.
The pencil to the left is a "notes" feature if you want to leave internal notes in the dashboard for yourself or your team regarding why someone is in a certain status. The pencil will turn orange when there is a note attached to that nonprofit. You can also opt to collect documentation in the registration survey, like a 990 or independent financial audit.
When organizations are moved between statutes, the email and/or dashboard message will automatically be sent to the nonprofit/displayed on their dashboard. For instance, if an org has already been approved but needs to be moved back to "in review, or ineligible", they'll be notified accordingly. You have the ability to customize the message that appears for each of the statuses, both for the dashboard message, as well as the email that they receive, as outlined in this support article.
Before going live with the application/registration process, we recommend registering your own organization or test organization and changing the statuses to be sure that the copy displays and sends accurately.
Please note the following:
Marking an organization ineligible does not automatically refund the registration fee if one was collected. GiveGab won't be able to process these transactions and they will need to be handled outside of the platform.
The approval process is not at all tied to GiveGab's verification process with the IRS, so we'll just want to make sure that messaging is clear around both!
