When setting up Matches for your Giving Day, keep in mind that the funds you receive from your sponsors should be received offline. This means that you should secure your funds as cash or as a check from your sponsors outside of the platform. If your sponsors give online, the totals displayed will not be accurate.
Matches you set up will assist you with keeping track of your totals and the progress of each Match's depletion as funds are applied to incoming donations.
Step 1: Navigate to your Admin Dashboard
If your home page is not your Admin Dashboard, click on the drop-down box at the bottom of the page next to “Viewing Dashboard For” to view a list of organizations for which you are an administrator. Click on the name of the organization that you would like to manage.
Step 2: Navigate to your Giving Day Dashboard
On the left-hand side of your Admin Dashboard, click on the "Giving Days" tab highlighted below to manage your Giving Day Dashboard.
Step 3: Add Matching Commitment
From your Giving Day Dashboard, scroll down to the bottom of the page and click "Manage Matches and Challenges" from the "Donation Tools" section, highlighted below.
Step 4: Select Add Match
Click the "Add Match" button.
Step 5: Customize Your Match
After clicking the "Add Match" button, you will be taken to the form shown below, where you can enter the specific details of your Match.
a. Name Your Match
Here, you will want to add the name of your Match as it will appear to donors. If you are promoting your Match by name to your supporters, make sure to add that title in this field.
b. Add Match Description
To give your supporters more details about this specific Match, you will want to add a description. Use this space to share any important details regarding the Matching Opportunity.
c. Set Available Matching Funds
Here, you will want to input the total amount of funds available for this specific Match.
d. Add a Sponsor Logo (Optional)
If the sponsor of your Match has a photo or logo that they/you would like to feature, you can upload that here to be displayed along with your Match. To add a photo, click “Select Image” and then click “Apply” once you have adjusted it.
Note: Sponsor Logos will always display if present, regardless of whether you choose to display the Sponsor Donor Name publicly or not.
e. Choose a Matching Ratio
Donations will be multiplied by this amount when matched. For example, if 2:1 is selected and Auto Matching is enabled (see more about Auto Matching below), a gift of $100 that comes in will be matched at $200 from your match pool. An associated offline donation in the amount of $200 would be created in your Donation Report
The ratio of a Match cannot be changed after the match is created, so make sure you're happy with your choice before saving!
Tip: Use your Match Name and Description to let donors know how exactly their gift will be matched!
f. Add Your Sponsor Donor Name
Fill in this section to display the name of your Match sponsor according to how they would like to be recognized for their sponsorship. The Sponsor Donor Name is required for your reporting purposes and will not display publicly unless you check the box next to "Display Sponsor Donor Name Publicly."
g. Add a Sponsor URL
If you would like to promote your sponsor and share a link to their website, you can add their website URL here.
h. Set Match Time Zone
You can use the "Time Zone" drop-down menu to select your Giving Day's Time Zone.
i. Set Match Start Time (Optional)
If your Match has specific guidelines regarding when the donation must be made in order to qualify for the Match, you can select the time when the Match should start applying by clicking the box beneath “Start Time (US/<Time Zone>)” and selecting the date and time from the drop-down menu.
j. Set Match End Time (Optional)
If there is a point where donations will no longer be counted towards matching funds, you can set the time the Match should stop applying by clicking the box beneath “End Time (US/<Time Zone>)” and selecting the date and time from the drop-down menu.
k. Set Maximum Matching Funds Per Donation
If there is a Maximum Match amount per individual donation, you can set that number beneath the box labeled “Maximum Match per Individual Donation”. If someone makes a donation greater than this amount, it will only match up to the maximum you set.
l. Enable Auto-Matching
You have the option to enable automatic Matches to the donations that you receive for your Giving Day during the period the match is active (or all donations if no start/end time is selected).
Checking this box means that when an eligible donation comes in, an offline donation will be created automatically so the Match amount is also shown on your Giving Day profile and will count towards your totals. Auto Matching will work for all Matching Ratios currently available to select.
For more details, hover over the information icon to next to "Enable Auto Matching".
Step 6: Save Your Match
Once you have completed this form, click "Save" to view your Match.
You can view, edit, archive, or remove this Match from your Giving Day profile from the Matches and Challenges page at any time.
